Market Coordinator

Job Summary:

The Market Coordinator’s mission is to liaise with the Commercial, Marketing, Logistics, and Finance teams and the clients. She/he serves as the primary support person for the Area Sales Manager, and collaborates with the Fragrance logistics/systems support team in the EMEA office in Paris, France. 

Primary Duties & Responsibilities:

Reviews and processes the clients’ orders and maintains sell-out reports 

  • Receives and processes approved orders; confirms receipt to clients 

  • For TR- reviews, verifies and validates all references, quantities and prices on each order; If needed, transfers or requests additional forecasts 

  • Enters/ processes orders in SAP; confirms when order is entered on order system and lists additional information if needed 

  • Prepares JSOX, if needed, for additional orders, changes in incoterms, payment terms, shipping address, and credit and debit notes.  

  • Main liaison between Regional Sales Director (RSD), customer service team and clients; 

  • Fill out product specification files as requested by customers 

  • Maintains and updates the sales for each client in the sell-out files on a monthly basis (Monade system) 

Prepares and maintains forecasts 

  • Enters forecast in Remerch system 

  • Extract quota reports upon request from BO and Remerch 

  • Participates in establishment and follows-up on forecasts for assigned region(s); enters forecast into system 

  • Follows-up on animations and re-adjusts the forecasts in conjunction with other regions (transfer or release of quantities) 

Coordinates pricing for assigned area, prepares A/P, and coordinates in preparation of Year End Provision (YEP) 

  • Creates and extracts customer price lists in Vistex 

  • Obtains RSD’s assortment and approval, and sends individual price lists to each client 

  • Processes all payable invoices, obtains all proper signatures, and updates invoice log 

  • Liaises with vendors regarding payment 

  • Creates POs for provisions based on RSD estimates 

  • Inputs upcoming YEBs (JSOX template) into the provision chart and obtains all proper documentation for each entry 

Administrative support for commercial team, assists customer service (CS) and MOP In Paris, and assists accounting department 

  • Provides commercial reports to Area Managers (Portfolio, P&L, Quota Inquiry, etc.) 

  • TR- Processes Beauty Advisor (BA) monthly commission checks 

  • Coordinates and processes shipping of training gifts through client purchase orders 

  • Creates new vendors in accordance with JSOX 

  • Ensures that all client information is up to date 

  • Assists the accounting department with A/R and A/P issues

Qualifications & Competencies: 

  • Proven customer support experience 

  • Strong active listening  

  • Knowledge of CRM systems and practices 

  • Strong interpersonal skills and ability to interact with different cultures 

  • Ability to multi-task, prioritize and manage time effectively 

  • High school diploma or equivalent  

  • Ability to interpret data 

  • Ability to monitor expenditures and investments
